JOB TITLE: Public Life Coordinator

DEPARTMENT: Public Life

REPORTS TO: Associate Director of Public Life

STATUS: Regular, Full-Time (37.5 hours/week, benefited)

CLASSIFICATION: Non-Exempt

SCHEDULE: Monday through Friday, Evenings and Weekends as necessary

ABOUT THE ROLE: This cornerstone position will serve as a member of the Public Life department, working closely with the Chief Producer, Director and Associate Director to ensure that all programs, campaigns, initiatives and public spaces throughout YBCA boldly and effectively fulfill the organization’s mission, vision, brand and strategic priorities. The role provides administrative assistance to the Chief Producer and supports the team in overall project management, internal communication logistics and calendaring.

PRINCIPAL RESPONSIBILITIESSupport the planning and execution of YBCA’s signature offerings such as recurring monthly programs; convenings and panel discussions; opening night parties; public engagement experiences and other core programmatic events as assigned.
Ensure all project and event information is entered into events management database (USI) and shared out at weekly calendar meetings.
Provide support in scheduling cross-departmental meetings; take meeting minutes and track follow up agenda items.
Provide administrative assistance to the Chief Producer.
Support the Associate Director and Director in the project management of all programs, campaigns and initiatives
Prepare presentations and reports for project launches, check-ins and completions.
Provide creative input into program development for public engagement.

MINIMUM REQUIREMENTSBachelor’s degree and/or equivalent experience in arts, culture, political or social justice work.
At least two (2) years experience in either arts administration, event/project coordination or hospitality.
Strong organizational skills with particular attention to detail and process, and experience in managing multiple tasks and deadlines in a fast-paced environment.
Proven collaborative working style with the ability to effectively participate in cross-functional teams, achieve diverse project goals, and resolve issues viably using diplomacy, integrity, and ability to negotiate and compromise.
Strong written, verbal and interpersonal communication skills.
Enthusiasm and commitment to customer service.
Experience with G-Suite and/or Microsoft Office, Keynote, Asana and major social media platforms.
Business/database management software (Ungerboeck, EMS, Artifax) experience a plus, though not required.
Experience with Adobe Creative Suite preferred but not required.
Ability to work occasional nights, weekends and holidays as necessary.
Knowledge of, or strong interest in, the realms of contemporary art, civic engagement, and social responsibility.
Willingness to work alongside contemporary works of art and performances which present challenging and provocative subject matter.
Willingness to learn.
